Receptionist
JOB DESCRIPTION

If you can dazzle us with your proficiency in search engine optimization, your multi-tasking abilities, collaborative, detail-oriented, and dedicated work ethic – you will fit right in with our world class corporate cliental and our team! To be one of our Entry Level Event Assistants, you must have good administrative, IT skills (including Microsoft Word & Excel), be proficient in working in a fast-paced environment, have a pro-active and can-do attitude, even when working under pressure. This position will work closely with our in-house Event Manager.

Essential Position Functions:

· Greet visitors and prepare meeting rooms
· Support with general Administrative duties
· Support CEO on personal and business calendar
· Assist with travel arrangement as needed to support CEO travel
· Provide and maintain new employee hiring and termination paperwork to be completed
· Answer phones ( two entities and multiple lines) , general email inquiries, and day to day tasks
· Assist with purchasing and stocking office and department supplies
· Assist with general spreadsheets as tasked by EA, Operations
· Assist with making calls to secure building maintenance vendors, as repairs are needed
· Works with staff on collecting paperwork or administrative documentation
· General administrative duties which include booking travel and managing expenses
· Manage and filter two business entity phone lines and inquiries for rental items
· Other ad hoc duties as and when required by Operations Executive and/or CEO

Warehouse Carpenter
JOB DESCRIPTION

Responsible for building, installing, and repairing structures, fixtures, furniture, and other items using different types of materials including wood, laminate, mdf, etc…. This includes building items such aswalls and event structures, making repairs to the internal and external constructions and ensuring builds are safe.

Essential position functions:

• Build required items including specialty furniture
• Operate and maintain carpentry tools and equipment
• Assist with the delivery and installation of custom builds as needed
• Shape or cut materials to specified measurements, using power & hand tools, machines, or power saw.
• Assemble and fasten materials to make framework or props, using hand tools and wood screws, nails,
dowel pins, or glue.
• Build or repair furniture, doors, frameworks, floors, and other wooden fixtures used in buildings, using
woodworking machines, carpenter’s hand tools, and power tools.
• May need to select and order lumber and other required materials.
• Responsible for designing, building, installing, and repairing structures, fixtures, furniture, and other items
using different types of materials including wood and steel.
• Check work along the way to ensure it’s up to code and specifications.
• Communicate build delays and expenses with Production Coordinators, Warehouse Co and Crew Managers

Position Requirements:

• Knowledge of carpentry and building maintenance
• Good eye-hand coordination
• Knowledge of safe operation of basic hand and power tools
• Ability to operate required equipment in a safe and responsible manner
• Professional interaction communication skills
• Knowledge of workplace safety and safe lifting and handling procedures

Warehouse Labor
JOB DESCRIPTION

Our company sends upscale event rentals and furnishing out to over 800 events a year–and we do it with the help of dedicated warehouse laborers! We are currently looking to hire 2-3 qualified individuals to join our team to assist with the warehouse + inventory maintenance and storage. REQUIRED to have a clean driving record. Ideally our candidate would have some experience or aptitude with handling, lifting, and maneuvering, heavy high-end merchandise; exhibit good judgment and decision-making skills; pays strong attention to detail; possess a keen memory, good eye-hand coordination and basic math skills; and have good communication and interpersonal skills.

Qualifications:

• High school diploma or equivalent.
• Prior experience in warehouse storage maintenance desirable.
• Customer service oriented.
• Reliable and dependable and self- motivated to carry out routine daily work schedule.
• Must be able to work harmoniously with a team of crew members.
• Must be able to perform physical labor on a daily basis and in extreme desert temperatures.
• Knowledgeable of and willing to follow all safety precautions and security procedures.
• Willingness to work overtime, weekends or holidays as needed.
• Must have ability to learn safety procedures in moving warehouse furniture.

Accounting Assistant
JOB DESCRIPTION

To support the Accounting Manager in carrying out the responsibilities of the Accounting Department. Ensures job and vendor files are complete and maintained as needed, handles general bookkeeping responsibilities.

Essential Position Functions:

• Allocate job expenses and job costing.
• Prepare and maintain job files as needed within the department.
• Prepare correspondence as needed within the department.
• Perform such other accounting, financial, or administrative tasks as may be required from time to time – quite often on short notice – by the Accounting Manager.
• Assist Accounting Manager to ensure timely processing of payments and documents such as invoices, journal vouchers, employee reimbursements, and statements.
• Verifies items billed against items ordered and received. Assists in reconciling differences through follow-up with the vendor and/or other employees.
• Posts financial data to appropriate accounts using company accounting system, according to instructions.
• Reviews on-line transactions for changes and accuracy and corrects errors.
• Composes routine letters and reports using instructions or guidelines of the work area.
• Compile and sort invoices and checks and receipts
• Contact individuals with delinquent accounts.
• Assist occasionally in processing vendor payments or refunds as instructed by Accounting Manager.
• Prepare checks in envelopes and mail out.

Position Requirements:

• Extremely detailed and exceptionally organized.
• Must have the ability to interact with all levels of management within the company.
• Highly skilled in dealing with financial and numeric data.
• Required knowledge and use of Excel Spreadsheets and Microsoft Office Suite.
• Required knowledge and 2 yrs active daily use of Quickbooks.
• Must have experience with email communication with client-based accounting departments in order to handle the occasional administrative needs of the department.
• Knowledge of accounting and bookkeeping terminology and practices.
• Knowledge of general record keeping and filing systems.
• Ability to detect errors.

Executive Assistant, Operations
JOB DESCRIPTION

This position will provide direct support to a high level executive. Duties are complex and confidential requiring the highest level of discretion. The employee in this role will have continuous contact/communication with senior levels of internal management and staff. The Executive Assistant must promote a positive corporate image by representing the Company internally and externally. A background in Operations is required.

Essential Position Functions:

· Represents the Fresh Wata and the Executive as needed with clients, participate in meetings, assist in answering questions and meeting operations duties as requested by Operations Executive.
· Perform administrative duties for the Operations Executive
· Organizing and maintaining files and records for operations and accounting departments
· Keep track of an executive calendar for Operations Executive
· Maintain and organized set of files and paperwork
· Conserve Executives time by reading, researching, preparing, editing and routing correspondence, and collecting reports
· Liaise with Accounting Manager, Event Planners/ Producers, Warehouse and Fabrication staff when requested to convey and expedite the Company requirements for administrative mission and operational matters.
· Assist in handling executive’s calls, responding to inquiries, and clarifying company policies and procedures

· Data entry as needed
· Respond to and distribute Company wide activities and updates
· Assists Executive in ensuring facility requirements are up to date, utilizing appropriate staff when necessary
· Assistance with HR duties and onboarding paperwork and filing, past experience will be required.
· May include the preparation of meeting minutes and action lists, provide administration support
· Assist with special business operations projects as needed
· Providing quality customer service to internal and external constituents
· Ability to understand and assist in creating reporting structures
· Assist company staff with administrative needs as directed by Executive
· Willing to undertake varied responsibilities in support of business operations

Position Requirements:

· Ability to work weekdays, 9:00am-6:00pm and be flexible for overtime as needed with Operations Executive
